2024 - 2025 Board Member Role Descriptions

Board Officer Descriptions:

President: The president shall prepare the agenda for and preside over all meetings of the organization and executive board, serve as the primary contact for the principal, represent the organization at meetings outside the organization, serve as an ex officio member of all committees except the nominating committee, and coordinate the work of all the officers and committees so that the purpose of the organization is served.

Executive Vice President: The executive vice president shall assist the president and carry out the president’s duties in his or her absence or inability to serve. 

Secretary: The secretary shall keep all records of the organization, take and record minutes of the meetings, and send notices of meetings to the membership. The secretary also keeps a copy of the minutes book and brings it to meetings.

Treasurer: The treasurer shall receive all funds of the organization, keep an accurate record of receipts and expenditures, and pay out funds in accordance with the approval of the executive board.  He or she will present a financial statement at every meeting and at other times of the year when requested by the executive board, and make a full report at the end of the year.  The treasurer will secure two signatures on all checks. (Any two of the following officers are authorized to sign: president, treasurer, executive vice president and/or secretary.) The treasurer shall keep a copy of the minutes and present the organization's financial records to the auditor for the audits at the end of December and at the end of June.

Financial Secretary: The financial secretary shall receive all funds of the organization, prepare and make all deposits. The financial secretary shall present all receipts to the Treasurer for recording.

Vice President(s): The vice president(s) will assist in coordinating and overseeing the various committee chairs and other responsibilities as defined and agreed upon by the executive board. The vice president(s) will also assist the Executive VP in performing presidential duties as needed.  The Vice Presidents shall consist of:

Fundraising: 

  • Works with a committee to plan and organize fundraising activities, including membership drive and possible larger fundraisers
  • Focuses on raising the amount of funds needed to meet the unit’s budget
  • Presents reports on proposed fundraising activities at board and association meetings for approval

 Hospitality & Teacher Appreciation:

  • Works with Sober Grad Night Committee
  • Sunshine Funds
  • Teacher Grants
  • Hospitality/Staff Appreciation                                                                                                                                                                                                                     

Events:

  • Works with Sunshine Fund
  • Works with Teacher Grants
  • Liaison for Supported VDL Programs

 Communications:

  • Oversees email & newsletter notifications, webpages and all forms of social media

Parliamentarian:

The parliamentarian shall review and revise the bylaws of the organization every two years or as the executive board sees fit. The parliamentarian will help run the organization's meetings according to proper parliamentary procedure as listed in "Robert's Rules of Order, Revised." The parliamentarian shall keep and bring a copy of current bylaws to all meetings for public review if requested, as well as all current membership forms to verify voting rights if needed.

Auditor: 

  • The auditor shall review the financial records of the organization twice per school year.  Audits shall be performed at the end of December and at the end of June.  The auditor shall also be responsible for annually presenting this organization's books to a tax preparer and posting the current year's income tax return for public viewing.
